How to Add an Email Signature in Apple Mail (Mac)

Apple Mail on Mac supports HTML signatures, but there's one critical setting you must disable or your formatting will get overwritten every time. Follow these steps carefully and your DropSig signature will display perfectly.

Before you start

You'll need a signature to paste. Already have one? Skip to step 1.

Step-by-step setup

Open the Mail app. In the menu bar, click "Mail" → "Settings" (on macOS Ventura and later) or "Preferences" (on older versions). A settings window will open.

Click the "Signatures" tab at the top of the settings window.

In the left column, select the email account you want to add a signature to. If you want it for all accounts, select 'All Signatures'.

Click the "+" button under the middle column to create a new signature. Give it a name like "Work".

Look at the bottom of the settings window. Find the checkbox that says "Always match my default message font" and make sure it is UNCHECKED. This is the most important step — if this is checked, Mail will overwrite your signature's fonts and colors.

Pro tip: If you miss this step, your signature will look like plain text regardless of what you paste.

In DropSig, click "Copy Signature". Your HTML-formatted signature is now on your clipboard.

Click in the right column (the signature preview area) and paste (Cmd+V). The signature should appear with its formatting.

In the left column, drag your new signature onto the account you want it applied to (if you created it under 'All Signatures'). Close Settings. Open a new email to test.

Common issues

Signature shows as plain text with no formatting

You likely have 'Always match my default message font' checked. Go back to Mail → Settings → Signatures, uncheck it, then re-paste your signature.

Signature appears but images are missing

Apple Mail may block remote images. Go to Mail → Settings → Privacy and uncheck 'Protect Mail Activity', or use a signature where the logo is a linked image at a public URL.

Signature only applies to one account, not all

In the Signatures tab, make sure to drag your signature from the middle column onto the account name in the left column. Each account manages its own signature assignments.
