How to Add Email Signature in Gmail (Step-by-Step)

Adding an email signature to Gmail takes about 2 minutes. You'll paste your signature into Gmail's settings, and it will appear at the bottom of every email you send. Here's exactly how to do it.

Before you start

You'll need a signature to paste. Already have one? Skip to step 1.

Step-by-step setup

1
Open Gmail in your browser. Click the gear icon in the top-right corner, then click "See all settings".
2
You're now on the General tab. Scroll down until you see the "Signature" section. It's about halfway down the page.
3
Click "Create new". Gmail will ask you to name it — use something like "Work" or "Main".

Pro tip: You can create multiple signatures in Gmail and switch between them when composing an email.

4
Go to the DropSig editor and click "Copy Signature". This copies your signature as formatted HTML.
5
Click inside the Gmail signature text box and paste (Ctrl+V on Windows, Cmd+V on Mac). Your signature will appear with all formatting, photos, and links preserved.

Pro tip: Gmail strips some CSS properties like background colors and custom fonts. Stick to standard web fonts and text colors for best results.

6
Below the signature editor, you'll see two dropdowns: "For new emails use" and "On reply/forward use". Set both to your new signature.
7
Scroll all the way to the bottom of the page and click "Save Changes".
8
Compose a new email. Your signature should appear automatically at the bottom. Send a test email to yourself to check how it looks on the receiving end.

Common issues

Signature looks different after saving

Gmail may strip certain CSS styles. Avoid background colors, custom fonts, and complex layouts. DropSig templates are designed to work within Gmail's limitations.

Photo not showing

Gmail requires images to be hosted online (a public URL). If you uploaded a photo in DropSig, it's already hosted. If you used a local file path, re-upload it.

Signature too long error

Gmail limits signatures to 10,000 characters. If you hit this limit, try removing the photo or reducing social links.
